ChatGPT Prompts for Cleaning Businesses (That Don't Make Things Up)

10 copy-paste prompts for quotes, reminders, reviews and posts, plus the one rule that stops AI from inventing prices, discounts or policies you never offered.

The best ChatGPT prompts for a cleaning business do two things: they give the AI your real facts (prices, area, policies), and they tell it to ask instead of guessing when something is missing. Without that second rule, AI will happily invent a price, a discount or a cancellation policy you never offered, and you'll be the one explaining it to a client.

Below are 10 prompts you can copy into free ChatGPT, Gemini or Claude, plus the one block of text that makes them safe to use.

The rule that makes every prompt safer

Paste this at the top of any prompt:

Use only the facts I give you below. Do not invent prices, dates, discounts, policies or promises. If something you need is missing, write [ASK ME] in its place instead of guessing.

Then fill in a short "My business" block once and keep it in your notes app:

My business: [name], a cleaning business in [town/area]. Services: [standard, deep, move-out]. Prices: [your table, or "see quote below"]. Payment: [Zelle, Venmo, card]. Cancellation: [your policy]. Tone: friendly and short.

Every prompt below assumes you paste the rule and the "My business" block first.

Prompts for quotes and replies

1. Turn a messy inquiry into a quote

A potential client sent this message: [paste]. Using my prices, write a short text quote with the price, what's included, two time options and one question at the end. If size or service type is unclear, write [ASK ME].

2. Ask the right questions first

Write a friendly text asking a new inquiry for: bedrooms and bathrooms, home size, type of clean, how often, and pets or extras. Under 60 words.

3. Follow up once without sounding pushy

Write a one-sentence follow-up to a quote I sent yesterday for [service] on [day]. Friendly, no pressure.

Prompts for regular clients

4. Day-before reminder

Write a reminder text for [name] for tomorrow at [time]. Ask if there's anything to focus on. Under 40 words.

5. Payment reminder that keeps the relationship

Write a polite reminder that the clean on [date] for $[amount] hasn't been paid. Include my payment options. Assume they simply forgot.

6. Reschedule because you're sick or delayed

Write a text to [name] explaining I need to move their [day] clean. Offer [option 1] and [option 2]. Apologize once, briefly.

7. Bring back a client who went quiet

[Name] used to book every [frequency] but hasn't booked since [date]. Write a short, warm check-in offering two openings next week. No discounts unless I list one.

Prompts for marketing

8. Ask for a review

Write a short text asking [name] for a Google review after today's clean, with this link: [link]. Make it easy to say no.

9. Reply to a review

Write a two-sentence public reply to this review: [paste]. Thank them by first name, and mention nothing private about their home.

10. A week of social posts

Write 5 short Facebook posts for my cleaning business in [area]: one tip, one before-and-after caption (I'll add photos), one about recurring cleans, one about a service I offer, one asking for referrals. Use only my facts.

Check before you send

AI drafts are a starting point. Before anything goes to a client, check three things:

  • Every number matches your price list.
  • Every [ASK ME] has been replaced with a real answer, or the sentence removed.
  • Nothing private (door codes, alarm details, a client's schedule) went into a public post.

Never paste client door codes, alarm codes or payment details into an AI chat. You don't need them for any of these prompts.

Do I need a paid AI plan?

No. These prompts work in the free versions of ChatGPT, Gemini and Claude. Paid plans can be faster and handle longer conversations, but a cleaning business can do all of the above for free.

Make it even faster

The slow part isn't the prompt; it's typing your facts every time. The AI Office Manager keeps your business facts in one place and builds 12 everyday messages from 3 boxes you fill in, with the "only my facts" rule already built in.
