    Creating a Simple Database

    • 1). After opening Access, select "File," then "New," which will display a sidebar of options. Click "Blank Database." You must give your database a name.

    • 2). The Database interface displays a list of tools on the left that shows what the program enables you to do. The option "Table" is pre-selected for you. We will use this option to create the outline of the database. Select "Create Table in Design View."

    • 3). We come to the template for the table, which contains the headings Field Name, Data Type, and Description. Under the Field Name, type all of the column headings you want such as Office Location, Employee Name, Salary. For each Field Name, choose the appropriate Data Type. Data Types include Text, Number and Currency. For example, Location and Employee Name should use Text; Salary could be Currency. In the Description column, provide brief explanations for your Field Names.

    • 4). When finished, close out of the Design View by clicking the "X" in the right corner for the Design Window. You will be prompted to do two things: name the table you're saving and select a primary key. A primary key is a field that provides a unique value for each record. A database can have only one primary key. For our database, you can have Access set it up for you: click OK. You only need to know more about primary keys for complex databases.

    • 5). Now we come to your Database interface, where you will see your newly created table listed. Click on your table, which will open so you can begin entering data. You'll see your column headings. When you enter your data, the corresponding data type you set up will apply. Enter your data and your database has been built.
