    • The typical duties of a recording secretary include sorting and opening mail, word processing, typing, maintaining data files and answering inbound phone calls. A recording secretary must maintain office schedules and annotate appointments while making arrangements for meetings by scheduling rooms and facilities. A recording secretary may be responsible for making travel arrangements for company personnel ranging from air travel to hotel accommodations.

    Job Features and Functions

    • A recording secretary must review documents for typographical accuracy. Reports, manuscripts, forms, correspondence, vouchers, technical documents and classroom materials are examples of the documents a recording secretary should examine. The secretary also maintains the office filing system and files documents or correspondence in numerical, alphabetical or other established methods. The recording secretary operates office equipment such as copiers, typewriters, adding machines, calculators and personal computers. She records minutes at meetings and distributes minutes to designated personnel.

    Work Environment

    • The work environment is typically an office setting or an administrative area. A recording secretary typically works 40 hours a week. The job includes a lot of hand and wrist movement and a recording secretary should guard against problems that can occur such as carpal tunnel syndrome. The recording secretary must be able to communicate with co-workers and individuals.

    Knowledge, Skills and Abilities

    • A recording secretary must be aware of standard office practices and procedures and skillful when composing letters and preparing reports. Computer skills are a must, especially word processing applications. Bookkeeping skills are a plus given the fact that some recording secretaries may process invoices and travel vouchers. Verbal and written communication skills are critical for this position.

    Educational and Salary Requirements

    • Educational experience for a recording secretary can range from a high school diploma to one year of secretarial/clerical experience. According to Payscale.com, a procurement administrator average hourly rate, with less than one to four years of experience, is between the ranges of $8.14 to $10.91.
